Retreat Participant Terms and Conditions

Please read these Terms and Conditions carefully before registering for a Satya Consultation, LLC retreat (“Retreat”).

By registering for a Retreat and agreeing to these Terms and Conditions, you acknowledge that you have read, understood, and agree to the policies outlined below.

For purposes of this agreement, Satya Consultation, LLC may also be referred to as “Satya Consultation.”
Participation in a Retreat is voluntary.

1. Registration & Payment

Your space in the Retreat is reserved once we receive the required registration payment or deposit.

A $50 processing fee is included with registration and is non-refundable and non-transferable, except where otherwise required by law.

Any remaining Retreat balance must be paid according to the payment schedule provided at registration. Failure to make required payments by the stated deadlines may result in cancellation of your registration, subject to the cancellation terms below.

2. Minimum Enrollment & Retreat Confirmation

Each Retreat requires a minimum number of participants in order to operate. The Retreat will be confirmed no later than November 1.

Participants are encouraged to wait until the Retreat has been confirmed before purchasing non-refundable airfare or making other non-refundable travel arrangements. If the required minimum enrollment has not been reached, Satya Consultation, LLC reserves the right to cancel the Retreat. If Satya Consultation, LLC cancels the Retreat because minimum enrollment has not been met, all Retreat payments made by the participant will be refunded, less the $50 non-refundable processing fee.

This refund represents Satya Consultation, LLC’s obligation to the participant in the event the Retreat does not proceed because minimum enrollment has not been reached.

Satya Consultation, LLC is not responsible for airfare, hotels, transportation, insurance premiums, or other expenses incurred independently by the participant.

3. Participant Cancellation Policy

Retreat reservations require advance commitments for accommodations, meals, programming, vendors, and other services. For this reason, the following cancellation policy applies:

The $50 processing fee is non-refundable and non-transferable in all circumstances.

If we receive written notice of cancellation 90 days or more before the Retreat begins, we will refund 50% of Retreat payments received, excluding the $50 processing fee.

If cancellation occurs fewer than 90 days before the Retreat begins, payments are non-refundable and non-transferable.

Cancellation must be submitted in writing by email.

No refunds or credits will be given for late arrival, early departure, unused accommodations, missed meals, activities, excursions, classes, or other portions of the Retreat that a participant chooses not to attend or use

4. Travel Insurance

Travel insurance is strongly recommended. Participants are responsible for researching, selecting, purchasing, and understanding their own travel insurance coverage.

Satya Consultation, LLC does not sell, select, arrange, or provide advice regarding travel insurance policies and makes no representation regarding the availability, suitability, terms, exclusions, or coverage of any insurance policy.

Participants are encouraged to consider coverage for circumstances including trip cancellation or interruption, illness or injury, travel delays, lost baggage, emergency medical treatment, and other unexpected circumstances.

The Retreat cancellation policy remains applicable regardless of whether a participant purchases travel insurance or whether an insurance claim is approved or denied.

5. Travel Arrangements & Expenses

Unless specifically identified as included in the Retreat package, participants are responsible for arranging and paying for their own airfare, transportation, passports, visas, travel documentation, insurance, and other personal travel expenses.

Satya Consultation, LLC is not responsible for costs resulting from delayed or canceled flights, missed connections, weather, illness, transportation changes, or other disruptions to a participant’s travel plans.

Participants are responsible for ensuring that they possess any passports, visas, permits, health documentation, or other documentation required for travel to and from the Retreat destination.

6. Accommodations

Satya Consultation, LLC will make reasonable efforts to provide the accommodation or room category selected by each participant.

Where shared accommodations are offered, participants understand that roommate arrangements may occasionally need to be adjusted because of enrollment, participant cancellations, availability, or circumstances outside Satya Consultation, LLC’s control.

We will communicate any material change affecting the price of a participant’s accommodation before making an additional charge.

7. Health, Medical & Dietary Information

Participants are responsible for notifying Satya Consultation, LLC before the Retreat of relevant medical conditions, physical limitations, allergies, dietary restrictions, or other needs that could reasonably affect their safe participation or require accommodation during the Retreat.

Participants are responsible for bringing and managing their own medications, prescriptions, supplements, mobility devices, and other personal medical necessities.

Satya Consultation, LLC cannot guarantee that every dietary request or medical accommodation can be provided, particularly when services are being supplied by third-party venues, restaurants, caterers, or international providers.

Participants with significant medical concerns should consult their own healthcare professional regarding whether participation and travel are appropriate for them.

8. Voluntary Participation

Retreat activities may include yoga, meditation, breathwork, movement, sound meditation or sound healing, group discussion, experiential exercises, hiking, walking, excursions, and other recreational or wellness activities depending upon the specific Retreat.

Participation in individual activities is always optional.

Participants are encouraged to listen to their own bodies, needs, and personal boundaries and may decline or discontinue an activity at any time.

Choosing not to participate in an included activity does not entitle the participant to a refund or credit for that activity.

9. Participant Responsibility & Conduct

Each participant is responsible for assessing their own ability to safely participate in Retreat activities.

Participants agree to behave in a manner that respects the safety, privacy, property, boundaries, and Retreat experience of other participants, facilitators, staff, hosts, and vendors.

Satya Consultation, LLC reserves the right to limit or discontinue a participant’s involvement in an activity—or, in serious circumstances, require a participant to leave the Retreat—if their behavior presents a significant safety concern, substantially disrupts the Retreat, or repeatedly interferes with the well-being of other participants.

If a participant is required to leave the Retreat because of their conduct after the Retreat has begun, Retreat payments will not be refunded, and the participant will be responsible for any resulting transportation, lodging, or other expenses.

10. Photography, Video & Media — Participant Choice

Photography or video may occasionally be taken during the Retreat.

Participation in photographs, video, or other recordings used for Satya Consultation, LLC marketing, promotional, social media, website, or educational purposes is entirely optional.

Participants will be given the opportunity to indicate their preference separately:

☐ YES — I consent to photographs and/or video in which I am identifiable being used by Satya Consultation, LLC for marketing, promotional, social media, website, or educational purposes.

☐ NO — I do not consent to identifiable photographs or video of me being used for these purposes.

Choosing No will have no effect whatsoever on your ability to participate fully in the Retreat.

Satya Consultation, LLC will make reasonable efforts to honor participants’ media preferences throughout the Retreat.

Participants are also asked to respect one another’s privacy and not post identifiable photographs or recordings of another participant publicly without that person’s permission.

11. Changes to the Retreat or Itinerary

Retreat schedules, facilitators, activities, excursions, meals, transportation arrangements, accommodations, or other elements of the program may occasionally need to be modified because of weather, safety considerations, venue requirements, availability, participant needs, transportation conditions, or other circumstances.

Satya Consultation, LLC reserves the right to make reasonable changes when necessary for the safety, feasibility, or overall functioning of the Retreat.

Reasonable itinerary or programming changes do not constitute cancellation of the Retreat and do not automatically entitle participants to refunds.

12. Events Beyond Our Control / Force Majeure

Events outside Satya Consultation, LLC’s reasonable control may affect the Retreat, including severe weather, natural disasters, fire, strikes, civil unrest, war, terrorism, government actions, border closures, epidemics, pandemics, significant illness, transportation interruptions, or other unforeseen circumstances (“Force Majeure Events”).

If such circumstances make the Retreat unsafe, unlawful, impossible, or commercially impracticable to conduct as planned, Satya Consultation, LLC may modify, postpone, relocate, or cancel the Retreat.

If a Retreat must be canceled or materially changed because of circumstances beyond Satya Consultation, LLC’s control, Satya Consultation, LLC will make reasonable efforts to recover refundable payments previously made to venues and other suppliers.Any refund or credit available to participants may depend upon amounts actually recoverable from those third parties.For this reason, comprehensive travel insurance is strongly recommended.

13. Third-Party Providers

Retreat accommodations, transportation, excursions, massage providers, restaurants, guides, venues, and other services may be provided by independent third parties.

Although Satya Consultation, LLC takes reasonable care in selecting Retreat providers, these businesses and individuals operate independently and maintain responsibility for the services they provide.

Participants are responsible for complying with reasonable rules and requirements imposed by Retreat venues and third-party providers.

14. Personal Property

Participants are responsible for their personal belongings during the Retreat.Satya Consultation, LLC is not responsible for lost, stolen, misplaced, or damaged personal property except to the extent required by applicable law.

15. Assumption of Risk

Participation in travel and Retreat activities carries inherent risks.
Depending upon the particular Retreat, these risks may include those associated with travel, unfamiliar environments, physical activity, yoga, movement, hiking, swimming, transportation, weather, food, illness, exposure to communicable diseases, excursions, and other recreational or wellness activities.

By participating, you acknowledge that these and other known or unforeseen risks may exist and voluntarily choose to participate with an understanding of those risks.

You agree to exercise reasonable care for your own safety, follow appropriate safety instructions, communicate relevant limitations, and discontinue participation in an activity when you believe continuing would be unsafe for you.

16. Emergency Medical Care

If you experience a medical emergency during the Retreat and are unable to direct your own care, you authorize Satya Consultation, LLC, its Retreat leaders, facilitators, or other Retreat personnel to contact emergency medical services or obtain reasonable emergency assistance on your behalf.

You remain responsible for any medical, transportation, hospitalization, evacuation, or other expenses associated with your care.

Reasonable efforts will also be made to contact the emergency contact you have provided.

17. Release of Liability

In consideration of being permitted to participate voluntarily in the Retreat, the participant acknowledges and voluntarily assumes the inherent risks associated with Retreat activities and travel.

To the fullest extent permitted by applicable law, the participant releases and agrees not to hold Satya Consultation, LLC, its owners, officers, facilitators, employees, independent contractors, representatives, and agents liable for claims arising from the inherent and ordinary risks of voluntary participation in Retreat activities, except for claims that cannot legally be waived, including where applicable gross negligence or intentional misconduct.

18. Agreement

By registering for the Retreat, I acknowledge that:

I have read and understand these Terms & Conditions.

I understand the Retreat’s payment and cancellation policies.

I understand that a $500 deposit secures my space while enrollment is underway.

I understand that I have been advised to wait until my retreat is officially confirmed before purchasing non-refundable airfare or making other non-refundable travel arrangements.

If minimum enrollment is not reached and Satya Consultation, LLC determines that the retreat will not move forward, all retreat payments will be refunded, less a $50 non-refundable processing fee.

I understand that a $50 processing fee is non-refundable and non-transferable.

I understand that my $500 deposit is non-refundable and non-transferable if I choose to cancel my participation.

I understand that the Retreat is subject to minimum enrollment and will be confirmed by a stated date communicated on retreat’s info page.

I understand that if Satya Consultation, LLC cancels the Retreat because minimum enrollment has not been met, my Retreat payments will be refunded except for the $50 processing fee.

I understand that travel insurance is strongly recommended and that I am responsible for selecting and purchasing my own coverage.

I understand that Satya Consultation, LLC is not responsible for my independent travel costs or arrangements.

I understand that Retreat schedules and activities may change when reasonably necessary.

I understand that participation in Retreat activities is voluntary.

I understand that travel and Retreat activities involve inherent risks and voluntarily assume those risks.

I understand that my photography and media preference will be selected separately and that declining media consent will not affect my participation in the Retreat.

By electronically signing or checking the applicable acknowledgement box during registration, I confirm that I have read, understood, and voluntarily agree to these Terms & Conditions.
